How businesses manage travel spend to reduce hard costs while saving time and energy

Business travel can be a hefty investment, but it’s also extremely valuable. The key is to build a travel programme that allows your team to succeed when they are on the road, but without costs spiralling out of control. Here are just a few examples of Corporate Traveller customers who have been able to realise real savings by working with us.

5 case studies for managing business travel spend

1. The Canadian MS Society – The Power of Data

All companies are focused on their bottom line, but not-for-profits have zero room for errors or wastage with their travel programmes. The MS Society in Canada made the switch from ‘do-it-yourself- travel management to working closely with Corporate Traveller, mostly so that they could see where and how their travel budget was being spent. It was like a light was suddenly switched on for them, once they began the process of consolidating their travel into one provider.

  • All their data in one place, with regular reporting and analysis
  • They created a travel policy that was respected and adhered to
  • Savings reports also offered additional opportunities to reduce spend

2. New Era – The value of strong travel policy

When there is no policy or guidance in place, rogue bookings tend to spiral out of control. It’s not that people will purposely do the wrong thing...they just don’t have clear guidance. And that’s exactly what was happening with New Era before they met Corporate Traveller.

Last minute bookings were a little out of control, which increased costs and over-stretched the travel budget. With a quick analysis and evolution of their travel policy, we filled in the gaps and results promptly improved. Here’s the snapshot:

  • Last-minute bookings dropped from 14% to 5%
  • 30% increase in online bookings
  • 35% fare reduction on top 10 routes

The power of a strong travel policy is real.

3. A-Gas – Plan ahead (as best as you can)

It’s not always easy to plan your travel in advance. However, if you can make it happen, it can add up to some hefty savings. This is what happened for A-Gas back in 2018 when their Corporate Traveller Account Manager, James Forfar, sat down and planned out the potential ways they could significantly reduce their travel spend. It started with getting travellers to book earlier.

  • We implemented some advance booking timeframes to take advantage of cheaper flight prices when booked 30 days in advance
  • We arranged a tier-match solution with Virgin so that travellers had more options on hand, and could find a better price
  • We added additional savings (both in time and money) by arranging Australia ETAs at no extra cost, and even checking some travellers in on-line

When you have a proactive travel team in place, there are opportunities for additional savings everywhere.

5. Hydenlene – Marine fares deliver savings

For industries that have particular requirements, like energy and marine, there’s some extra levers we can pull to get those savings. Take Dorset-based Hydenlene, who mainly book flights and was focused on flexibility and value as its number of travel booking grew.

Here are just a few highlights to mention:

  • How specialist fares like this work.
  • Why Maria Andersson, Project Manager and Business Development Manager found them so valuable.
  • What additional support was available to help.
