Booking Terms and Conditions
The following terms and conditions apply to your travel booking (“Terms”):
- Travel Agent: Flight Centre (UK) Limited trading as Corporate Traveller (or any of its affiliated entities) (Corporate Traveller) acts as a travel agent only. We sell various travel related products on behalf of numerous transport and accommodation service providers, including, but not limited to airlines, coach, rail and cruise line operators and hotels (Travel Service Providers). Corporate Traveler does not own, operate, manage or control these independent suppliers of services and Travel Service Providers. Corporate Traveller is not liable for the acts or omissions of such Travel Service Providers. Corporate Traveller’s obligations to you are to make travel bookings on your behalf and to arrange relevant contracts between you and the Travel Service Providers. We have no responsibility for these services, nor do we have the authority to make any warranty or representation regarding their standards. Fulfilment of a request cannot be guaranteed. All bookings are subject to the terms and conditions and limitations of liability imposed by these Travel Service Providers some of which exclude liability in respect of death, personal injury, delay and loss or damage to baggage. You agree that your sole legal recourse is against the specific Travel Service Provider and not Corporate Traveller, or its affiliates, parent company, shareholders, directors, officers, employees, agents or contractors. Conditions can change rapidly in a country at any time. A reference to “these Booking Conditions” shall mean the terms and conditions set out herein as well as all terms and conditions of any Travel Service Providers. To the extent of any inconsistency between a Travel Service Provider’s terms and conditions and these Booking Conditions, the Travel Service Provider’s terms and conditions shall prevail, save to the extent that any provision in the Travel Service Provider’s terms and conditions is deemed to be invalid or unenforceable.
- Passports & visas. All travelers must have a valid passport for international travel and many countries require at least 6 months validity from the date of return. For travel to the European Union travelers must have a passport that was issued less than 10 years before the date they enter the country and is valid for at least three months after the day they plan to leave. Some countries also require a machine-readable passport and/or unstamped available pages. When assisting with an international travel booking, we will assume that all travelers on the booking have a valid passport. If this is not the case, you must let us know. It is your responsibility to ensure that all travelers have valid passports, visas and re-entry permits which meet the requirements of immigration and other government authorities. Any fines, penalties, payments, delay, or expenditures incurred as a result of such documents not meeting the requirements of those authorities will be your sole responsibility (except to the extent caused by fault on our part). We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements. If you need information regarding visas, passports, and other travel document requirements for the trip, please contact us. We can provide you with general information on visa and passport requirements that apply to international travel bookings you make with us. We can also obtain more specific information from an external visa advisory service provider on your behalf (if you wish, we can obtain visas for you through this external service and fees will apply). We do not warrant the accuracy of visa and passport information provided by any external service and accept no liability for any loss or damage which you may suffer in reliance on it (except to the extent caused by fault on our part).
For travel to Australia, New Zealand, Canada, or the United States from the UK please be advised that there are compulsory pre-registration requirements for visa waiver programs. If you have registered before, please check your registration is valid and has not lapsed. Please note, you may not meet the eligibility requirements and may be required to obtain a visa.
If you are travelling to South Africa with a person under the age of 18 you will be asked to show the child’s full unabridged birth certificate. There are additional requirements if the child is travelling with only one parent, with neither biological parent, or unaccompanied. Failure to provide this information on check in will result in passengers being denied boarding.
It is a requirement for some air carriers to provide personal information, including passport information, about all passengers on their aircraft. The data will be collected when you check-in (either online or at the airport) or, in some circumstances, will be required when you make your booking. - Travel advice. The Foreign, Commonwealth & Development Office may have issued information about the traveler’s travel destination. It is your responsibility to ensure that you go to www.gov.uk/fcdo to find out more about the traveler’s destination prior to the commencement of travel and to inform the traveler of any advice which is relevant to them. Alternatively, you can contact ABTA Information Department on 0203 117 0599 (calls will be charged).
- Travel documents. Travel documents include airline tickets, hotel vouchers, tour vouchers or any other document (whether in electronic form or otherwise) used to confirm an arrangement with a Travel Service Provider. Travel documents may be subject to certain conditions and/or restrictions including (without limitation) being non-refundable, non-date-changeable, non-transferable, and subject to cancellation and/or amendment fees. Travel documents cannot be transferred to another person to use. All airline tickets must be issued in the name of the passport/photo identity holder. An incorrect name on a booking or on the travel documents may result in an inability to travel on that booking and the booking being cancelled. Please review your travel documentation carefully and advise us immediately of any errors in names, dates and timings. You must ensure you have all the traveler’s travel documents and e-tickets prior to travel. Please let us know if you believe you have not received any required documentation. A flight described on your travel documents and/or itinerary as “direct” will not necessarily be non-stop. All departure/arrival times are provided by the airlines concerned and are estimates only. They may change due to air traffic control restrictions, weather conditions and operational requirements.
- Fees: You acknowledge that Corporate Traveller is providing services to an entity, company and/or organization and such organization is permitting you to use the services of Corporate Traveller for your individual travel needs. Such organization and Corporate Traveller have agreed to certain service fees, whether online or offline for the provision of services by Corporate Traveller which will be included in any invoice provided by Corporate Traveler related to your booking. In addition to these service fees, the organization and/or traveler agree that Corporate Traveller may charge additional fees including without limitation, cancellation, change, exchange, mileage, after hours, and/or visa processing service fees. All prices are subject to availability and can be withdrawn or varied without notice. You acknowledge we may carry out airfare optimization and re-shopping by monitoring the market, and where the same flight becomes available at a lower cost after a reservation has been made or quoted, you agree that we may book that flight as an alternative in place of the original flight and retain any price difference as part of our charges for providing the Travel Management Services.
- Amendments and cancellations by you. Cancelled bookings for travel services may incur charges including, without limitation, those charged by the Travel Service Providers pursuant to their terms and conditions and additional Transaction Fees for us to process the cancellation. In addition, please note that all Transaction Fees paid upon making the original booking are non-refundable. These cancellation charges can be up to 100% of the cost of the booking, regardless of whether travel has commenced. Fees and extra charges may also apply where a booking is changed and when tickets or documents are re-issued, including those charged by the Travel Service Providers and additional Transaction Fees. You agree to indemnify us for the full amount of all fees, charges and costs incurred in relation to your amendment or cancellation. Where you seek a refund for a cancelled booking for which payment has been made to the Travel Service Provider, we will not provide a refund to you unless and until we receive the funds from that Travel Service Provider. If you have purchased a return flight, multi-stop or round the world flight and you do not check in on a confirmed flight, the airline may register you as a ‘no show’ and your tickets on your subsequent flights may be cancelled. Please contact us as soon as possible if you do not intend to check-in for a confirmed reservation in these circumstances. We strongly recommend that you provide us with each traveler’s phone number and email at the time of making your booking. If this information is not provided you may not receive information from airlines relating to flight cancellations or schedule changes.
- Amendments and cancellations by the Travel Service Providers. If your Travel Service Providers amend or cancel your booking, we will inform you of this and advise you of your options (whether made available by the Travel Service Providers or otherwise) but we shall have no liability to refund or compensate you in relation to such amendments or cancellations. Where you seek a refund for a cancelled booking for which payment has been made to the Travel Service Provider, we will not provide a refund to you unless and until we receive the funds from that Travel Service Provider.
- Payment: Corporate Traveller has either permitted the traveler and/or the company to pay for the services by corporate debit or credit card or on credit in accordance with the terms provided by Corporate Traveller in writing. The company and/or the traveler agree to pay for the amount set out in an invoice in accordance with such terms. The traveler acknowledges that by making the payment for the booking that the traveler has accepted the price quoted by Corporate Traveller. The traveler will not seek a refund, or a credit card or debit card chargeback on the services once a payment has been received in full for the services.
- Financial Arrangements: We work with a range of credit providers, issuers and payment service providers (“Payment Service Providers”) in connection with booking your travel and travel related products and services and arrangements and also in connection with the provision of any credit to you. We and/or these Payment Service Providers may open an account in your name to facilitate the booking of travel and/or payments to Travel Service Providers. These Payment Service Providers may change from time to time without notice to you. We receive remuneration through commissions, financial incentives, fees or payments, and other means including transaction processing fees, merchant service fees or other payments or credits of a similar nature (together, ’Financial Arrangements’) from Travel Service Providers, Payment Service Providers or other persons in connection with travel and travel related bookings and travel products, services and/or arrangements made on your behalf or in connection with any credit which may be provided to you under separate credit terms provided to you. We are entitled to retain, and we are not required to account to you, for any such fees, payments or credits we may receive. Further, we are not required by law to disclose the nature or value of these financial arrangements.
- Corporate credit cards and debit cards: Payments for our services and the travel services will be taken at time of booking/invoicing and will incur merchant fees. You authorise us to charge all fees incurred by you in relation to our services and travel services to the card designated by you. If payment is not received from the card issuer or its agents for any reason, you agree to pay us all amounts due immediately on demand. You indemnify us against any loss that may be experienced by us due to any fraudulent use or otherwise of that credit or debit card. You also agree, in making payment by corporate / commercial credit card or debit card, to waive any rights which you may otherwise have to instruct your card issuer to initiate a chargeback under the relevant card scheme rules on the basis that the rights of the respective parties in relation to the transaction are fully and exclusively set out in these Booking Conditions. In particular, you agree not to initiate chargebacks against us in the event that the relevant travel service is cancelled by a Travel Service Provider, including if the relevant Travel Service Provider issues a credit or voucher instead of a refund for a cancelled service. This provision in relation to chargebacks is without prejudice to any rights you may have directly against the Travel Service Provider. Please note that we are unable to accept payment by consumer credit cards.
- Travel insurance. For all travel we strongly recommend that you take out appropriate travel insurance to cover the travelers for the travel arrangements booked under these Booking Conditions. Travel insurance is also recommended by the Foreign, Commonwealth & Development Office for all overseas travel. It is your responsibility to ensure the travelers have valid travel insurance that covers and is appropriate for their needs. We will not be liable for any loss the traveler incurs if and insofar as it is covered under a travel insurance policy.
- Liability: In all circumstances, we will not be liable where any failure in the performance or provision of your travel arrangements is due to: (a) your acts or omissions or the acts or omissions of another member in your group (including, without limitation, where you or a member of your group is negligent, under the influence of alcohol or other substances, or acts in an inappropriate or reckless manner) (b) any third party not connected with the provision of your travel arrangements and where the failure is unforeseeable or unavoidable or (c) unavoidable and extraordinary circumstances, including but not limited to: war, threat of war, riot, civil disturbances, industrial dispute, terrorist activity and its consequences, plague, epidemic, pandemic, infectious disease outbreak or any other public health crisis (including quarantine or other restrictions), natural or other disaster (such as volcanic ash or hurricanes), nuclear incident, fire, adverse weather conditions (actual or threatened, including snow and fog), closed or congested airports or ports, unavoidable technical problems with transport, unforeseen alterations to transport schedules, transportation disruptions or cancellations, domestic and/or international travel restrictions, changes to travel advisories and restrictions, changes to health advisories and quarantines, changes to immigration, labour and free-movement laws, rescheduling of aircraft or boats or other modes of transport, changes to applicable laws and/or other government mandates (including evacuation orders and border closures), and similar events. Without limiting the rest of this Section, in no event will we be liable for any criminal act or omission of any Travel Service Provider or its employees, contractors or agents or any other third party. Our liability will in all cases be limited in accordance with and/or in an identical manner to: (a) the terms and conditions of the travel service providers that provide your travel arrangements (which, by making a booking with us, you acknowledge form part of these Booking Conditions) - and (b) relevant international conventions, including the Carriage by Air Conventions (within the meaning given in section 1(5) of the Carriage by Air Act 1961), the Athens Convention of 1974 on the Carriage of Passengers and their Luggage by Sea and the Convention of 1980 concerning International Carriage by Rail.
- Health and Special Requirements. You must ensure that the traveler is aware of any health requirements and recommended precautions relevant to the travel booked and ensure that the traveler carries all necessary vaccination documentation. In some cases, failure to present required vaccination documentation (e.g., proof of COVID-19 or Yellow Fever vaccination) may deny the traveler entry into a country or invalidate travel insurance cover. We recommend that you advise the traveler to consult with a local doctor, travel medical service or specialist vaccination clinic before commencing travel. We would be happy to provide you details of travel clinics on request. Please speak to us about any special requirements you may have for your travel arrangements such as special meal and seating requests, room type or access. Please understand that Travel Service Providers may not be able to accommodate every request.
- Privacy: We are committed to protecting your personal information and will process your personal information in accordance with our Privacy Policy, available online at https://www.corptraveller.com/en-gb/trust-and-compliance. By providing personal information to us, you agree that our Privacy Policy will apply to how we handle your personal information and you consent to us collecting, using, disclosing and otherwise processing your personal information as detailed in our Privacy Policy. In particular, you agree that in certain circumstances (such as where you request us to book international travel for you), we are permitted to disclose your personal information to overseas recipients. Such recipients may include the overseas travel service providers with whom you seek to make a booking. These travel service providers will in most cases receive your personal information in the country in which they will provide the services to you or in which their business is managed or based. We may also disclose your personal information to our overseas related entities and to service providers who perform services for us within and outside the UK. Generally, we will only disclose your personal information to these overseas recipients in connection with facilitation of your travel booking and/or to enable the performance of administrative and technical services by them on our behalf. Where we disclose your personal information to a third party overseas recipient, you agree that the recipient may be located in a country with laws that do not protect personal information as stringently as those of the UK. You acknowledge that we deal with thousands of travel service providers around the world (some of which are very small operations or are located in countries with laws, and/or in regions with technology, which may not be advanced as those existing in the UK). Therefore, where your requested travel arrangements require that your personal information be sent to an overseas recipient (other than any of our overseas related entities), you agree that this is at your risk and we will not be liable or accountable for how those recipients handle your personal information. We encourage you to review the privacy policies of any third party service provider whose services we arrange on your behalf. If you have any objections to your personal information being disclosed to an overseas recipient, please let us know. We strongly recommend that you provide us with each traveller’s phone number and email at the time of making your booking. If this information is not provided you may not receive information from airlines relating to flight cancellations or schedule changes.
- Disputes and Governing Law: If any dispute arises between you and us, the laws of England and the jurisdiction of the English Courts will apply. You may, however, choose the law and jurisdiction of Scotland or Northern Ireland if you are a resident there and wish to do so. Any provision (or part of any provision) of these Booking Conditions which is invalid in any jurisdiction is invalid in that jurisdiction to that extent, without invalidating or affecting the remaining provisions (or part provision) of these Booking Conditions or the validity of that provision in any other jurisdiction. No one other than a party to these Booking Conditions, their successors and permitted assignees, shall have any right to enforce any of the terms of these Booking Conditions, including under the Contracts (Rights of Third Parties) Act 1999.
- Traveler tracking. Traveler tracking enables your nominated personnel to have access to online passenger monitoring services for bookings made through us. We are unable to report on: (i) non-GDS travel bookings; (ii) bookings where travelers have made changes at the airport; and (iii) bookings or changes made directly with Travel Service Providers. To the extent permitted by law, we do not guarantee, and accept no legal liability whatsoever arising from or connected to, the accuracy, reliability, currency, or completeness of any material contained in any passenger report.
- Frequent flyer. Please provide the traveler’s frequent flyer membership details (or other applicable loyalty program details) at time of booking. Please check the loyalty program for the specific terms of membership. We cannot guarantee that the Travel Service Provider will credit the traveler with points for the booking. Any loyalty program discrepancies in relation to your booking must be communicated to us within one month of your flight departure date.
- EU Community List. We bring to your attention the existence of a 'Community List', which contains details of air carriers that are subject to an operating ban within the EU. The Community List is available for inspection at https://ec.europa.eu/transport/modes/air/safety/air-ban/index_en.htm. We also bring your attention to the UK Air Safety List, which comprises known states and air carriers who have failed to demonstrate that they meet relevant, internationally agreed, safety standards and as a consequence, are banned from operating into, out of or within the United Kingdom. You agree and undertake to inform the traveler of these lists.
- Low Cost Carriers: You acknowledge that should you request a booking with a Low Cost Carrier, such as Ryanair, that as a condition of making that booking, that you will be required to adhere to Corporate Traveller’s policy regarding such Low Cost Carrier as notified to you in writing from time to time.
