Booking Terms and Conditions

The following terms and conditions apply to your travel booking (“Terms”):

Travel Agent: Flight Centre Travel Group (Canada) Inc dba Corporate Traveller (or any of its affiliated entities) (Corporate Traveller) acts as a travel agent only. We sell various travel related products on behalf of numerous transport and accommodation service providers, including, but not limited to airlines, coach, rail and cruise line operators and hotels (Travel Service Providers). Corporate Traveller does not own, operate, manage or control these independent suppliers of services, Travel Service Providers and. Corporate Traveller is not liable for the acts or omissions of such Travel Service Providers. Corporate Traveller’s obligations to you are to make travel bookings on your behalf and to arrange relevant contracts between you and the Travel Service Providers. We have no responsibility for these services, nor do we have the authority to make any warranty or representation regarding their standards. Fulfilment of a request cannot be guaranteed. All bookings are subject to the terms and conditions and limitations of liability imposed by these Travel Service Providers some of which exclude liability in respect of death, personal injury, delay and loss or damage to baggage. You agree that your sole legal recourse is against the specific Travel Service Provider and not Corporate Traveller, or its affiliates, parent company, shareholders, directors, officers, employees, agents or contractors. Conditions can change rapidly in a country at any time.  It is your responsibility to check the Canadian Government Travel advisories for your intended destination at https://travel.gc.ca/travelling/advisories.

Passport and Visas: All individuals departing from Canada must be in possession of a valid passport. It is your responsibility to have a valid passport, visa and/or other travel documentation. A passport is the only reliable and universally accepted travel and identification document. Using other documentation such as travel documents or refugee status cards may result in delays or being denied boarding. We will assume that all travelers on the booking have valid Canadian passports, if this is not the case, you are required to let us know. Any fines, penalties, payments or expenditures incurred as a result of such documents not meeting the requirements of those authorities will be your sole responsibility. Please note the following additional requirements: (i) any visa advice provided to you is dependent on the accuracy of the information provided by you. Visa advice is current but can change prior to your intended travel date; (ii) to re-enter Canada; non-Canadian passport holders will need to provide proof of valid Canadian Permanent Residency, a valid Canadian visa or proof of outbound ticket within visa exception allowance. Citizens from countries other than the United States (U.S.) who do not need a visa to enter Canada will need to obtain an ETA before flying into Canada. Travelers do not need an ETA when entering Canada by land or sea; (iii) immigration authorities have the sole discretion to deny entry even when the relevant documentation is provided. A Traveler with criminal history may be denied entry; (iv) we recommend that you inquire with the Consular Affairs Bureau for Canadians Abroad or review online the Essential Information for Canadian Travelers Guide at voyage.gc.ca to satisfy personal requirements; (v) for some countries, international health certificates and vaccinations are required. In some cases, failure to present required vaccination documentation (e.g. Yellow Fever vaccination) may result in you being denied entry into a country. We recommend that you consult with your local doctor, travel medical service or specialist vaccination clinic before commencing your travel. General health advice for the destination you wish to visit is also available on the Government of Canada Travel and Tourism at https://travel.gc.ca/; (vi) some countries require travelers to be issued a special international driver's permit and/or international proof of insurance.

Taxes and Baggage Fees: Baggage allowance and restrictions will apply on all airlines. These will vary, and you should contact the airline you are travelling for the specific restrictions. Some airlines may charge fees for checked baggage. Please note that additional airport fees and government taxes may not be included in your ticket prices, these are collected at destination. You are solely responsible for any such fees.

Fees: You acknowledge that Corporate Traveller is providing services to an entity, company and/or organization and such organization is permitting you to use the services of Corporate Traveller for your individual travel needs. Such organization and Corporate Traveller have agreed to certain service fees, whether online or offline for the provision of services by Corporate Traveller which will be included in any invoice provided by Corporate Traveller related to your booking. In addition to these service fees, the organization and/or traveler agree that Corporate Traveller may charge additional fees including without limitation, cancellation, change, exchange, mileage, after hours, and/or visa processing service fees.

Prices quoted by Corporate Traveller over the phone or on its website are subject to change and will not be confirmed until booking is accepted by Corporate Traveller and an invoice sent to you. If, after your booking has been confirmed, you wish to vary your booking, Corporate Traveller will endeavor to satisfy your requirements provided that written notification is received. Prices and availability quoted are subject to change (at the sole discretion of our Travel Services Providers and are due to space sellout/demand) at any time until full payment has been received and tickets have been issued. If the total price of the travel services is increased and the cumulative increase, except any increase resulting from an increase in retail sales tax or federal goods and services tax, is more than seven percent, you have the right to cancel the contract and obtain a full refund. Please note that all airfares and tour operator rates are subject to change without notice if full payment for booking has not been received. Flight Centre does not warrant that prices will not change until booking is paid in full and an increase must be borne and paid for upon demand either by Corporate Traveller, the airline, the tour operator or the Travel Service Providers. Corporate Traveller always tries to maximize the savings on airfares it sells on behalf of airlines and provide savings to you. Should we locate a better airfare we will advise you of any material changes to such airfare terms and conditions if applicable.  If you have purchased a refundable fare and Corporate Traveller has been able to find a lower non-refundable fare, we shall advise you of any material changes to the terms and conditions of the fare. If you wish to purchase the lower fare, Corporate Traveller will guarantee the change in the terms and conditions of the fare, including without limitation should you seek a refund on the non-refundable fare.

Cancellation: Any amendment or any changes to a reservation (date change, rerouting) constitutes a cancellation and may be liable for additional fee charged by Corporate Traveller and/or the Travel Services Provider. Should you wish to cancel a booking, you must do so in writing. A cancellation will take effect from the date that the written notice is received at our office. In all cases, where your booking involves a special fee or charges levied by an airline, hotel operator or any other Travel Services Provider, you will be responsible for all cancellation charges levied by the airline, hotel operator or Travel Service Providers. Whether the cancellation is initiated by you or the provider, cancellations incur charges imposed by the Travel Services Provider which can be up to 100% of the total fare purchased. Please note that airline/wholesaler refunds can take up to twelve (12) weeks and not all taxes are refundable. Airline tickets are non-refundable once travel has commenced. Where we incur any liability for a cancellation fee or charge for any booking which you cancel, you agree to indemnify us for the amount of that fee or charged.

Payment: Corporate Traveller has either permitted the traveler and/or the company to pay for the services by credit card or on credit in accordance with the terms provided by Corporate Traveller in writing. The company and/or the traveler agree to pay for the amount set out in an invoice in accordance with such terms. The traveler acknowledges that by making the payment for the booking that the travelers has accepted the price quoted by Corporate Traveller. The traveler will not seek a refund, or a credit card charge back on the services once a payment has been received in full for the services.

Credit Card Transactions: If for any reason, any Travel Service Provider is unable to provide the services for which you have contracted, your remedy lies against the Travel Service Provider, and not against Corporate Traveller. In the event that payment has been made to Corporate Traveller by credit card, you agree that you will not seek to charge back your payment to Corporate Traveller. If the credit card information is passed through to the travel services provider and you seek to charge back your payment from the provider, you agree to indemnify Corporate Traveller against this chargeback from the provider, including without limitation any air debit memos charged to Corporate Traveller. If Corporate Traveller incurs any expenses, including but not limited to attorneys’ fees, to recover any payments charged back by your credit card company, you agree that you will be liable for these reimburse Corporate Traveller for such expenses. If the credit card is declined, you guarantee that you will settle any amounts owing to Corporate Traveller immediately by money order or payment in cash.

Reconfirming Flights and Check-In: It is your responsibility to confirm your flight departure times at least 24 hours prior to departure. Some airlines will have schedule changes and your flight times may differ to what is stated on your Itinerary. We recommend that you reconfirm your onward and return flights at least 3 days prior to each journey. Corporate Traveller is not responsible for schedule changes.  All passengers are asked to check in at least 2 hours for domestic and 3 hours for international prior to the scheduled time of departure of their flight due to enhanced security measures. We recommend online check-in available with most airlines at least 12 hours prior to departure and for most cruises, at least 72 hours. Please note that all travelers must be present with their boarding documents, passport and visas necessary for the destination. Any passenger arriving late for check-in will be denied boarding.

Refunds: If you have an unused ticket or supplier refund, and depending on the fares terms and conditions, if you do not apply such unused ticket or supplier refund to your travel within a 364-day period (depending on the fares terms and conditions) then such unused ticket or supplier refund will expire on the 365th day.

Travel Protection: For your protection, we recommend that you purchase trip cancellation and travel accident protection.  However, you agree to look solely to the insurer, and not to Corporate Traveller, its affiliates, parent company, shareholders, officers, directors, agents, employees or contractors with respect to any policy of insurance purchased or offered thru Corporate Traveller or its website. No representation or description of the protection made by Corporate Traveller to you, constitutes a binding assurance or promise about the protection, and you agree not to rely upon any such representation. Corporate Traveller is not an insurance company and has no responsibility for the submission, payment or adjustment of any insurance claims. Any claims that may fall under the relevant travel protection policy must be submitted directly to the insurance company identified in the policy.

Liability: Corporate Traveller does accept any liability of whatever nature, whether in contract, tort, or otherwise, for the acts, omissions or default, whether negligent or willful act or failure to act or otherwise of any Travel Service Provider or of any third party. In addition and without limitation, Corporate Traveller is not responsible for and need not make reimbursement or refund for, any injury, loss, death, inconvenience, delay, or damage to person or property in connection with the provision of any goods or services whether resulting from, but not limited to, acts of God or force majeure, illness, disease, pandemic, quarantine, acts of war or civil unrest, insurrection or revolt, embargoes, blockades, boycotts, animals, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of accommodations, weather conditions, sanitary conditions, lack of medical care, mechanical or other failure of airplanes or other means of transportation, any failure of any transportation mechanism to arrive or depart on time, or any other matter not within Corporate Traveller’s direct control. Also, be advised that certain foreign facilities such as air-conditioning systems in public places, hotels and motor coaches may not be up to Canadian standards. If due to weather, flight schedules or other uncontrollable factors you are required to spend additional night(s), you will be responsible for your own hotel, transfers and meal costs.  Baggage is entirely at owner’s risk.  Under circumstances where liability cannot be excluded, such liability is limited to the value of the purchased travel arrangements. To the extent permitted by law, you specifically agree that Corporate Traveller is not liable for any consequential damage, or punitive, statutory, multiple, exemplary or other form of damage not measured by actual damage. 

Health and Special Requirements: It is your responsibility to ensure you are aware of any health requirements for your travel destinations and to ensure that you carry all necessary vaccination documentation. Please advise your consultant of any special requirements you may have, for example, special meals, medical requirements and so on. Corporate Traveller is not responsible for providing you with this information. Travel carriers and local authorities at travel destinations may require specific testing prior to boarding and/or upon arrival at your destination, including, but not limited to, a temperature check, negative test results, information relating to vaccination status as a result of the COVID-19 pandemic. You may be denied entry onto your carrier and/or entry upon arrival at your destination or be required to self-quarantine at your destination and upon your return to Canada, please visit https://travel.gc.ca/travel-covid for further information. You must comply with local government regulations. Additional costs are your responsibility.

Privacy Notice: Corporate Traveller is committed to protecting the privacy and confidentiality of your personal information (which includes without limitation, information we may collect such as your name, address, phone number, e-mail address, credit card details and any further information you volunteer to us). We agree to handle your personal information in accordance with our Privacy Notice, which you agree may be updated from time to time in our sole discretion and which is available online at https://www.corptraveller.com/en-ca/privacy. If you think that any personal information, we hold about you is inaccurate, please contact us Privacy@am.flightcentre.com and following authentication, we will take reasonable steps to ensure that it is corrected.

ELECTRONIC SIGNATURE: You may acknowledge and agree to these Terms: (i) electronically including by accepting such Terms on Corporate Traveller’s website and/or by e-mail; (ii) by your payment of the invoice and/or your use of the services provided by Corporate Traveller, or any other Travel Services Provider related to your booking. All such means will be deemed sufficient to bind the parties to these Terms.

Governing Law: The construction, validity and performance of these Terms and any disputes between the parties shall be governed by and construed according to the laws of the Province of Ontario, Canada, without giving effect to its conflicts of law principles, and any federal laws applicable therein. Both parties submit to the exclusive jurisdiction of the courts of the Province of Ontario, Canada with respect to any legal proceedings relating to these terms.
